Weekend Nordic Trip Policy
Check the Ski Club Trip Policies for information
on eligibility for the weekend trips (e.g., you must be a member)
and how you sign up. The trips are all at super places and promise
to bring a great deal of fun. If a trip is full, get on the
waiting list. By the time the trip rolls around, people's schedules
often change and quite a few on the waiting list can move to
the on-the-trip list. To get on the waiting list, sign up and
give the trip leader a check for the first payment. Your check
will not be cashed until you are notified and you consent to
move onto the going-on-the-trip list. Occasionally, a few rooms
are added to particularly popular trips, and then the whole
waiting list moves onto the on-the-trip list. So don't be discouraged.
In some cases, people have gotten on the trip at the very last
moment.
Trip Packages
The more extensive trips usually involve a complete package
of lodging, transportation, lift tickets, and possibly lessons
and social events. Trip features are explained in the newsletter
and web site. Additional information is available from the trip
leaders.
By going on a trip with the Club, you not only
benefit from a group pricing, but you usually put up less money
in advance than if you attempt to arrange a similar trip on
your own. To go to the popular ski areas at the desired times,
reservations must be made far in advance. The Ski Club trip
organizers typically start in April to plan and reserve the
next yearís program.
Generally, you either decide to take or not take
the package as offered. You usually cannot pick and choose features
to include or exclude. Some trips can be booked as land only
packages, or can be tailored to exclude lift tickets (for senior
members).
Signing Up
To sign-up for trips you must be a member in good standing of
the Ann Arbor Ski Club (or an MDSC club affiliate), complete
the trip form and you must make timely payments. The trip leader
is obligated to confirm your membership. (If possible, please
show your membership card to the trip leader when you sign up.)
The only reservation is a paid reservation. Reservations
are taken on a first-come, first-served basis. If you do not
make the follow-up payments when due, the trip leader is required
by the Club to treat the non-payment as a cancellation.
Wait List
If the spots on a trip are filled, you can place yourself on
the wait list. Without fail, each trip will have more openings.
If there is great demand, the trip committee may work to expand
the trip. Even if the trip is not expanded, it is inevitable
that some members who have registered for a trip will have to
cancel due to work, health, etc. When someone cancels, the first
person on the wait list is given the first chance to join the
trip. If that person declines, he or she is removed from the
wait list and the next person is asked.
To join the wait list, you write a check to the
Club for the amount due, just as if you were registering for
the trip. However, the check is not cashed. If a spot opens,
the trip leader will contact you and ask if you still want to
go on the trip. If you do, your check will then be cashed and
you are on board. If subsequent payments are due at that time,
the registrant must send those payments to the Event Leader
within seven calender days, or the registration will be cancelled
and the next person on the wait list will be asked to join the
event. If the event is scheduled to begin within seven days
of this transaction, the balance is due within 24 hours, or
before the event, whichever is earliest.
You must be a Club member to be placed on a trip
wait list.
Roommates
Double occupancy is required for most trips; everyone has a
roommate. If you do not have a roommate when you sign up, substantial
opportunity exist to find one prior to the trip. If you do not
find a roommate, then the trip leader assigns one.
Your trip fee entitles you to one space on the
trip. You do not automatically have the right to invite additional
persons to share living quarters for any portion of the stay.
Such arrangements are permitted only if the trip leader obtains
full approval of all who are staying in that unit. Approval
must be obtained prior to the trip.
Cancellations
Once you make a reservation, you will not be able to get all
of your money back if you cancel. First, a cancellation fee
is assessed for ALL trips (Alpine and Nordic, week-long and
weekend). Depending on the cost of the trip, the cancellation
fee is $10 for trips costing $100 or less, $20 for trips costing
between $100 and $399, and $35 for trips costing more than $400.
Any refund is based on (1) the date you cancel, (2) whether
someone is available from the
wait list to take your place, and (3) the financial
obligations of the Club for that particular trip.
The specific cancellation details vary for each
trip, but the general rule is that the Club does not cover costs
that are due to your cancellation. For example, charges to re-issue
airline tickets would be deducted from a refund. If there is
no one to take your place, it is probably not possible to get
refunds for the room, rental car, and/or airline ticket.
